In celebration of Earth Day, April 22, we wanted to announce our green approach! Efficient Forms has partnered with The Travelers Indemnity Company to save paper by providing an online service to accommodate their premium audit process with insured clients. This online service has helped Travelers reduce the number of printed and mailed pages to insured clients by over 2 million pages of paper!
Upcoming Release – Saturday, April 23rd
Release Name: Version 5 Release 2
The Location/Manager feature will be introduced based upon the need identified in the QSR and Staffing business verticals to support multiple store locations and multiple Managers per location. This feature will allow a more flexible and more accurate business implementation for our QSR customers, as well as allow our customers to create and manage Locations, District Managers and Managers, and the relationships among these. For existing clients, if you believe this functionality is needed, a conversion will need to take place. Conversions could be completed in as few as 12hrs or as long as a week. Please contact us to discuss your current site set-up and work flow to determine if this is applicable for you.
New Features:
- New WOTC processing functionality around reports. Additional information will be provided to clients through a separate communication within the next two weeks when it is implemented.
- Enter or import hours and wages for employees as required on a monthly basis
- View, Print and Save reports regarding – credits, new eligible employees, recent new hires, state approved/declined
- SSN and rehire status verification check prior to creating a new employee. Depending on current site set-up, customers may have the ability to add this to their system starting June 1 for a one-time fee of $750.

Use your inbox more effectively!
The request inbox displays only active requests. You can change the functionality of your inbox to reflect a “to‐do” list by making a request inactive once you have completed working it.
There are 2 ways to do this:
- Next Steps drop‐down, choose Make Inactive.
- Contact Customer Support or your Project Manager to automatically make the request inactive with your final step upon final action.
Note: when using a filter to find an employee request, if you cannot find it, try searching for Status = Inactive.

Overview
The TOP platform has many clients across verticals – Efficient Hire, Seamless Compassion, Merchant Services and Financial Services. This newsletter will serve as our communication about pending and future releases, customer service updates and new features that may enhance your system.
We are striving for further consistency within the platform as well as meeting our client’s business needs. With the last release on October 14th, we updated a setting in all client sites. The registration email, and associated email changes, has the client’s business name in the email subject. Previously, configuration was not specific to each client. Specifically for Efficient Hire clients, we also updated the browser title bar from Greenboard to "Efficient Hire: ". For PEO’s worksite clients, the title bar will include the worksite name as well – ie: "Efficient Hire: ABC Company – XYZ Worksite".
The new year is just around the corner and the 2011 government forms will be updated for Staffing, PEO and QSR clients (Efficient Hire). We will acquire these forms and update in December to be ready for January 1.
Upcoming Release – Saturday, December 4th

- Sorting and searching requests in the administrator view will be greatly enhanced. This new filtering will provide flexibility for reporting purposes. We will hold four training sessions to demonstrate the functionality. Please sign up! We will send release notes on Monday, Dec 6th. If you are not able to attend, the session will be recorded and made available to you at a later date.
- The footer with the Efficient Hire logo including a link to the Privacy Policy will also be in this release. This will help users understand our privacy policy.
- Currently, the registration email for suppressing authentication has an unnecessary step in the instructions. This step will be removed.
- Additional items will be mentioned in the full release communication.

WOTC . We have added a new interview with additional logic, and lighter phrasing, to easily prompt the new hire to answer these questions, shortening time and effort getting the tax break you are looking for! Efficient Forms processes WOTC applications between clients and the states, offering another service to assist our clients. We could be cheaper than your current processor... The employee uses the new interview and if they said "yes" to one of the seven lead‐in questions, detailed questions will be presented along with completed paperwork to print and sign. Efficient Forms will take care of sending the paperwork to the state office, track its progress and send you monthly and annual reports.

What if an employee forgets their PIN?
Employee logs into their account. Next, the employee will click the "Registration Details" tab. On Registration Details page, they can change their PIN and click "Submit". The new pin number will be updated.

Overview
This month, we streamlined a few interview areas as well as updated the Efficient Hire system with new government forms.
W‐11 – New Hire Affidavit
This program ended on 12/31/2010 and was not renewed. You will see this page only if the question was previously answered. For requests that have not been signed, this form is inactive and will not be seen. For requests that have been eSigned, thus the form bundle has been vaulted, the form will be accessible as it is historical record of what was eSigned.
W‐4 – Employee’s Withholding Allowance
The 2011 W‐4 was updated 1/5/2011, one day after it was posted for use. We researched the various states that have their own state withholding form and found 13 to have changed – AL, AR, AZ, CA, CT, DE, IA, MA, ME, NY, WI, and WV. We will re‐ verify the states on a weekly basis through January to find additional updates.
I‐9 Employment Eligibility Verification
We are making improvements based on your feedback. ‐ Driver’s License and State ID will be two options instead of one ‐ State ID will not have an expiration date as not all states have an expiry date on this ID ‐ Issuing Authority will not be pre‐populated ‐ If SSN was entered previously, it will be displayed as read‐only so it cannot be changed ‐All expiration dates must be after the current, today’s, date when being entered.

We are streamlining the way we handle I‐9 and W‐4 section of the interview. Both sections will display an exit page clearly stating the section has been completed.
Recent Release
The following items were recently released on January 6th. - Attachment indicator added when viewing requests specific to a client* user - Warning when creating an Admin UserID that is already in use - PEO customers:

Did you know we can auto‐initiate a request?
Upon finishing an interview, eSigning or approving a request, the Efficient Hire system can auto‐initiate another request. This will streamline the process for either your employees or Administrators, saving them a step! This process is also known or referred to as spawning.

How do I retrieve a UserID for a client* who forgets their User ID?
Any Admin or Manager/Rep has access to all employee UserID. After logging into your account,search for the client. Listed will be account information – name,email, UserID, archive status. If the archive status is I(inactive) the employee/client will not be able to log into their account.
*Client is different in each vertical. It is also known as an employee, applicant or merchant.

WOTC Update
As we gain invaluable feedback from you, our customer, and various states, we continue to enhance the WOTC interview and service offering. The following changes take effect Friday, May 13th:
- Sources Documentation screen – displays check‐boxes to allow the new hire to select supporting documents based on how the WOTC interview was completed.
- Additional Documentation page – form has been included with the form set. The supporting documents chosen in the interview will be checked. This page groups the items by priority needed for the state.
- Home Phone/Address page moved to the end – this screen will come after the Sources Documentation screen . For customers utilizing only WOTC, if a person is not eligible, this information is not necessary to enter.
- Updated Veteran and TANF eligibility rules ‐ tighten rules to meet program requirements.
- Various interview updates ‐ reduce page clicks and streamline interview steps.
- Final statuses Inactive – State Certified and State Declined statuses are made inactive so they are removed from your inbox/work‐list queue.

- Negates email servers filtering the email on reverse DNS look‐up
- Negates other issues with filtering the email from being received
The email will no longer look as if it is being sent from your Admin or Manager/Rep. As email servers and hosts are increasing their functionality around spamming and other negative behaviors. This change will decrease the likelihood of emails being blocked.
- Filter Update – for customers using the new location functionality, the location page is now filterable like the request pages.
- SSN Verification – new functionality that checks for a re‐hire status by comparing an SSN entered at the time of registration. This is an additional cost feature, contact customer support if you would like additional information regarding this new function.
